Within this document,
the terms "exchange", "Outlook", and "e-mail" are used
interchangeably. These terms all refer to how you, as CHS faculty and
staff computer users, access or receive electronic mail messages. This document assumes
the reader is using Outlook 2003. However, the instructions should
also apply to other versions of Outlook.
Terms & Acronyms:
CHS = College of Human Sciences ITS = Information Technology Services (campus computer
support service) HEAT = ITS's help request system
IT = information technology, computer support Outlook Web Access = OWA

About the CHS
E-mail/Outlook Migration Initiative
On the night of Tuesday, December 19th,
2006, CHS IT Staff in conjunction with ITS IT Staff began migrating CHS
faculty and staff exchange mailboxes from their current home on the college
exchange server to their new home on the ITS exchange server. This migration
process will be seamless to the CHS faculty and staff members involved. If
after reading through the FAQ below you still have questions, please
submit a help request (called a "HEAT" ticket) by contacting the ITS Solution
Center at 294-400 or online at http://www.it.iastate.edu/question/.

Part A. General Information
1. Why is the
college moving to ITS for e-mail services?
Due to limited IT resources, aging
hardware, and the increase in users supported, the College of Human Sciences
had to make a decision on how to proceed with its e-mail services. After
reviewing the cost of upgrading the hardware, cost of maintenance, etc., the
decision was made to move to an ITS supported e-mail service. By migrating
e-mail services to ITS, CHS users will enjoy the following benefits:

1 gigabyte of personal e-mail storage space

Improved security

Improved backup services.

An environmentally and climate
controlled data center

24x7 server monitoring and server
resolution

Individual e-mail inspection by
despam/devirus servers

Full-time staff dedicated to
maintaining e-mail services

2. When will my
departmental migration occur?
The exchange migration will occur over a
period of a few weeks. All departments within the College of Human
Sciences will be moved on an individual basis. The tentative times for
migration are as follows:

3. Will I be
notified before my mailbox is migrated?
Yes, an e-mail will be sent to all affected
CHS faculty and staff within the department approximately one week
prior to your mailbox migration. A second e-mail will be sent, as a reminder,
the day of your mailbox migration. The e-mail will contain the following
information:

Date and time the move will occur.

When email service will be restored.
-
Special instructions you will need
to complete prior to the migration.

Special instructions, if any, you
will need to follow after the migration is complete.

4. What will I
need to do to prepare for the exchange migration?
After you have received the second
e-mail, you will are required to close Outlook prior to leaving
your office. The migration will occur overnight, and when you arrive at the
office the following day, you should be able to log into Outlook as usual.
Note:
If you do not log out of Outlook prior to
leaving the office, your mailbox should still be migrated. When you
arrive at the office the following morning, a message will be displayed on
the screen, in the bottom right corner, stating your mailbox has been
successfully migrated. The message will also ask that you log out of Outlook
for the changes to take effect. The CHS IT Staff still asks all faculty and
staff to log out of Outlook prior to their mailbox migration to ensure
a successful migration.

5. How do I know
my mailbox has been successfully migrated?
To find out if your mailbox
has been successfully migrated, follow the steps listed below:
- Click Start
- Click Run
-
Type "Control"
(no quotes)
- Double-click the "Mail" icon (pictured below)

- In the window that appears, click
E-mail Accounts

- On the following screen click
Next
- Click Change

- Ensure the Microsoft Exchange
Server box reads exchs ...

Note: The information that follows "exchs" will vary. If this screen appears, and says something other than
exchs…, please contact the ITS Solution Center at 294-4000, or online at
www.it.iastate.edu/question,
and request a HEAT ticket be issued to CHS IT staff.

6. How will the
migration affect Mac users?
Because Exchange is a Microsoft product,
the process of migrating a Mac user to a new exchange server is not as
seamless as those using a Windows based PC. Please see the "How do I
configure exchange settings on a Mac?" portion of this document for more
details.

Part B. Accessing e-mail
1. How do I login to my e-mail?
The login process to access your e-mail
will not change after your mailbox has been migrated. The login process
will remain as follows:

as you use to login to other Iowa State University services, such as:

2. Will Outlook appear or
function differently?
No. The appearance of Outlook, its functionality, and
your customized settings will remain unchanged after your
mailbox has been migrated.

3.
Will I still be able to
receive e-mail through Outlook Web Access (CHS Webmail)?
Yes, Iowa State offers Outlook Web
Access (OWA). To access your e-mail through OWA after you have been successfully migrated, follow these steps:
- Open a browser and go to the ISU home page,
http://www.iastate.edu
- Click
on the Information Technology link.
- Click on the Outlook Web
Access link in the left hand column (now you will be at
http://www.it.iastate.edu/owa/ )
- Click on the Login to
Outlook Web Access link.

Press
enter on the keyboard and the login screen will appear

Type your Iowa State netID in the
user name field.
-
Type your Iowa State password in
the password field.
- Click OK.

After successfully logging in, OWA will
open to your Outlook Inbox.

Part C. Common Issues
1. Why am I receiving excessive
amounts of spam?
If you are experiencing excessive amounts
of spam after being migrated, see the following link for instructions from
ITS on how
to decrease spam in your inbox:

2. Why am I no longer able to
receive e-mail wirelessly on my PDA/Palm?
Your PDA/Palm communicates with the
exchange server using Outlook Web Access. In order to continue to receive
e-mail updates through your PDA or Palm after a successful migration you
will need to reconfigure your device. Details on configuring your device are
as follows:
Palm:
Launch the Versamail program on your Palm device.
- Click the Application Menu button. (On Treo 650 smartphones
this button is located above the Mail icon.)
- Select the Accounts menu then choose Account Setup
from the menu.
- Click New to create a new account.
- Once the new account wizard launches, enter your netID for Account Name.
- For Mail Service select Exchange ActiveSync from
the drop-down menu.
- Click Next.
- Enter your ISU netID password and click Next.
- Enter your e-mail address: netid@mail.adp.iastate.edu.
- In the Mail Server field enter exchange.iastate.edu
and click Next.
- Click Test Settings. You'll
need to be connected to the Internet to perform this function.
- You should then receive a message that says the Calendar items
in your device will be deleted to prevent duplicates. Select "Yes"
to proceed if you've already backed up calendar items that are
stored on your device. Click "No" if you need to back up your calendar
information.
- Click Done and then click OK.
- Click Sync to start downloading your e-mail and
calendar items from the server to your Palm device. Note:
All of your calendar items will be deleted from your device when you
perform your first sync in Exchange ActiveSync mode. Make sure
you've backed up all calendar, contact, and mail items on your
device before performing this sync.
Windows Mobile:
Creating a Partnership
-
Select Standard partnership.
-
Click Next.
-
Select Synchronize with
Microsoft Exchange Server and/or this desktop computer.
-
Click Next.
-
Type exchange.iastate.edu
in the Enable synchronization with server window.
-
Check This server uses an SSL
connection.
-
Type the username, password, and
domain (iastate).
-
If your phone has already been
set up this should be added automatically.
-
Check Save Password.
-
Click Next.
-
Select the information you would
like synchronized wirelessly.
-
Click Next.
Note: The settings button allows you to select advanced
settings such as downloading attachments, limiting message sizes,
and choosing the amount of weeks you wish to synchronize for
calendar.

Choose additional information to
synchronize under Select Synchronization Settings,
-
Click Next.
-
Click Finish.
Setup is now complete and you can
perform synchronization from your device by selecting ActiveSync and
Sync. Synchronization can be set to run on a schedule by going to the
ActiveSync Options on your device and configuring it there, or by
clicking Options in the desktop ActiveSync while your device is cradled
and going under the schedule tab.

3. How do I configure exchange
settings on a Mac?

Open Entourage.

Login using your Iowa State
University netID and password.

Click Entourage in the file
menu.

Select Account Settings

In the account settings window,
click Mail.

Select the exchange server
account.

Listed as "account name"
(Exchange).

Click Edit.
- In the edit account window, select
Account settings.

- Remove any information in the
Exchange server field.
- Add https://exchange.iastate.edu/exchange
to the Exchange server field.

Click OK and close Entourage for
the changes to take effect.

1. Will the CHS IT Support Staff
continue to assist with e-mail related issues?
Yes. While ITS will be handling all server
related issues (outages, mailbox setups, etc), the CHS IT support staff will
still be available to answer any questions you may have regarding e-mail.
